The Minimum Viable Bookkeeping System

You do not need accounting expertise or expensive software to have a functional bookkeeping system. Here is everything you need, set up in one day.

Step 1: Business Bank Account (30 minutes)

Open a free business checking account online (Mercury, Relay, or Novo in the US). All business income in, all business expenses out. Complete separation from personal.

Step 2: Transaction Tracker (30 minutes)

Set up FlowFund and connect your business bank account. Or create a simple spreadsheet with columns: Date, Description, Amount, Category, Business/Personal.

Categorize business expenses as: Software, Equipment, Professional Development, Marketing, Travel, Office, Professional Services, Health Insurance, Other Business.

Step 3: Receipt System (15 minutes)

Email receipts to a dedicated email address (receipts@yourdomain.com, or a Gmail folder). Take photos of physical receipts with your phone and add to a Google Drive folder labeled by year and month.

Step 4: Invoice Template (30 minutes)

Create a standard invoice template with your business name, address, client info fields, line items, payment terms, and payment methods. Save as a reusable template.

Step 5: Monthly Review Calendar (5 minutes)

Set a recurring monthly calendar event: Bookkeeping Review, first Monday of every month. Review transactions from previous month, categorize any uncategorized items, verify all invoices are either paid or followed up on.

Total time invested today: Under 2 hours. Time saved at tax time: 10-20 hours.
